Using ScopeTrack
Getting started
Create a project
On My projects, choose New project and enter the client, what's included, what's excluded, the agreed price and timing.
Finalize the baseline
Open the project and finalize its scope baseline. Once finalized it is locked, so you always have the original agreement to compare against.
Write a change proposal
Add a proposal for the extra work, with its fee and how it changes the schedule. Drafts can be edited freely.
Finalize and share
Finalize the version, then choose Create private link and send that link to your client yourself. You can revoke or replace it at any time.
Client verifies their email
Your client opens the link, enters the email address you shared it with and types the six-digit code we email them. Clients don't need an account.
Client decides on that exact version
The client approves or declines the version they saw. A later revision never inherits an earlier approval.
Download the record
On the proposal page, choose Download decision record to save a plain-text copy built from what was saved at the moment of the decision.
Common questions
Does my client need an account?
No. Your client only needs the private link and access to the email address you shared it with. They verify that address with a six-digit code before they can decide.
Can I change something after it's finalized?
Finalized baselines and proposal versions are locked. To change a proposal, start a revision: it becomes a new version, and the earlier version and its history stay as they were. Finalizing the new version replaces the earlier undecided one, and the earlier link stops working.
How do I stop a client link from working?
On the proposal page, choose Revoke link. It stops working immediately. Replace link creates a new link and turns off the old one. Decisions already made are kept.
My client says the code didn't work.
Codes expire after 10 minutes, allow five tries, and only the newest code works — asking for a new one cancels the previous code. After verifying, the client has 15 minutes to decide.
Where do I download a decision record?
On the proposal page, each decided version has a Download decision record button. The file is built from what was saved at the moment of the decision, not from later edits.
Can my client download a receipt?
Yes, but only on the confirmation screen right after they decide. Reopening the link later doesn't show the receipt again, so a forwarded link can't reveal it. If your client needs a copy later, download the record yourself and send it to them.
Is a decision a legal signature?
No. ScopeTrack records which version was approved or declined, when, and by which verified email address. It is not an electronic-signature service and doesn't make anything legally binding by itself.
I forgot my password.
On the sign-in page, choose the option to reset your password. If an account exists for that email, we'll send a reset link.
Is there a free trial?
Yes. Every new owner account gets one free 7-day trial with all features. No card is needed and you are never charged automatically. When the trial ends, creating and changing work pauses until you choose to subscribe ($15/month plus any applicable tax). Viewing, downloads, revoking links and client decisions keep working.
How do I manage or cancel my subscription?
Open Billing and choose to manage your subscription. If you cancel, you keep paid features until the end of the period you've paid for. Your projects, downloads and existing client decisions stay available either way.
Who handles payment and tax?
Payments are processed by Stripe at checkout. Any sales tax or VAT is calculated and shown by Stripe before you pay, and Stripe sends receipts and invoices.
What's the demo?
The demo uses fictional data stored only in your browser. Its decisions are simulated, and nothing in it is shared, emailed or saved to your account.
